General Affair Officer

Responsible for a wide range of day-to-day administration requirements to ensure a functional and efficient office environment. You will also play a vital role in ensuring that all office administrative functions are coordinated to achieve a high level of productivity within the company while working with various levels of stakeholders in the company.

Key Responsibilities:

  • Provide direct administrative and secretarial support to the management team at the company.
  • Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, meeting communication, and memos when necessary.
  • Manage and provide administrative work assistance related to the business unit, landlords, vendors, and government authorities for contractual agreements, licenses, appointments, and meetings as necessary.
  • Provide support in project events coordination and oversee all administration and logistical requirements, including accommodation, transportation, and immigration visa arrangement for relevant parties as necessary.
  • Manage inventory control and replenishment of office supplies & stationery while ensuring office equipment and room facilities are kept in good condition at the same time, and provide supporting corrective action in breakdown events.
  • Prepare and monitor budget utilization for general affairs-related costs for the required period.
  • Manage and update routine reports relevant to the company and office administration requirements.
  • Maintaining general office files, including agreements, vendor files, and other files related to the company’s operations.
  • Provide administrative support for staff onboarding and exit process when necessary.
  • Perform all other related duties as assigned.

Job Requirements

  • Degree in Business Administration or other related field studies.
  • Minimum 5 years in a general affairs role in the general industry, and ideally from the Manufacturing industry.
  • Able to build and maintain effective and productive relationships with government authorities, suppliers, and internal stakeholders.
  • Good communication, negotiation, interpersonal, and influencing skills.
  • Ability to multitask and organize work output to meet deadlines.
  • Able to work well under pressure and handle emergency and stressful situations.
  • Positive mindset and Can Do Attitude.
